Sending Invitations
New Members can be added to a Community in several places in PubPub Platform:
- Via a Pub Details page, to guarantee Pub-level access.
- Via a Members tab in a Stage's sidebar on the Workflows Dashboard, to guarantee Stage-level access.
- Via the Members Dashboard, to guarantee Community-level access.
- Via the MemberSelect Field in a Form, to guarantee Community-level access.
Add Member
To add a member, select Add Member. A pop-up will appear, where users can enter the email address of the new Member to invite to the community.

If the email is associated with a Platform account, their full name and email will appear at the bottom of the pop-up screen. Users can select a Role from the dropdown menu (admin
, editor
, or contributor
). Select Add Member to add member to the Community.

If the email is not yet associated with a Platform account, additional information is required to invite the new Member:
- First Name: the first name of the Member
- Last Name: the last name of the Member

Role: the access and permissions of the Member within the Community. Select

from the dropdown menu. By default, new members are assignedEditor

can do anything within the Community;Editor
can edit most things;Contributor
are only able to see the forms and other public-facing content that are linked to them. -
Edit/View Access: If the
Contributor
role is selected, this field will appear. Selecting Forms will give the Member the ability to create Pubs in the community using the selected forms. If no Forms are added, the Member will not be able to create any Pubs, and will only be able to see Pubs they have access to either directly or at the stage level.
Select Invite to send an email invitation to the Member.

When a new or existing PubPub Platform Member is added to a Community, an invitation is sent to the Member's email. If the invitee does not yet have an account, PubPub Platform will create a provisional account. In order to view/edit/update Pubs or other content in a Community, the invitee will need to complete signup.

Receiving Invitations
When a new or existing PubPub Platform Member is added to a Community, an invitation is sent to the Member's email. When a visitor clicks on the link, various invitation prompts may appear.
Accept Invitation
If the invitee is an existing PubPub Platform Member, different acception options may appear.
Not Logged-In
If the invitee is an existing PubPub Platform Member (a Member of another Community) but not currently logged-in to PubPub Platform, the invitee will need to login before accepting or rejecting the invitation.

Logged-In
If the invitee is an existing PubPub Platform Member (a Member of another Community) and logged-in to PubPub Platform, the invitee will need to accept the invitation.

Wrong Account
If the invitee is an existing PubPub Platform Member under a different email, and the invitee is logged-in to the different account, the invitee is notified that they are logged-in with an account that doesn't match the invite. PubPub accounts are linked by email address. To merge accounts, the invitee should contact the sender or privacy@pubpub.org to update their account email.

Reject Invitation
For any reason, an invitee can reject an invitation to join a Community. The invitee must confirm rejection, and will no longer be able to accept this invitation.

Errors
If there is an error related to the invitation, the invitee may see one of the following screens:
Invalid Invite
If no invite is provided, the invitee is notified that the link they are trying to use is invalid.

Expired Invite
If the invite link has expired, the invitee is notified that the invite they are trying to use is invalid.

Already Accepted Invite
If the invite link has already been accepted, the invitee is notified that the invite they are trying to use is invalid.

Already Rejected Invite
If the invite link has already been rejected, the invitee is notified that the invite they are trying to use is invalid.

Revoked Invite
If the invite link has been revoked by the sender, the invitee is notified that the invite they are trying to use is invalid.
